PRIVACY POLICY

Steno, LLC (“Steno,” “we,” “us,” or “our”) is a Pennsylvania limited liability company that licenses automatic form-filling software to financial professionals and their firms. This Privacy Policy describes how we collect, use, and share personal information when you visit our website located at stenoautomation.com (the “Site”), request a demonstration or information about our products, create a user account, subscribe to our services, or use our desktop software application (the “Software,” and together with the Site, the “Services”).

By using the Services, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Services or provide us with your personal information. 1. Scope of This Privacy Policy

This Privacy Policy applies to personal information we collect from visitors to the Site, individuals who request a demonstration or information, individuals who create user accounts, and subscribers who license the Software. It applies only to information collected by Steno. It does not apply to the practices of third parties that we do not own or control, including the payment processor described in Section 5, whose handling of your information is governed by their own privacy policies.

The Services are intended for business use by financial professionals and their firms located in the United States. The Services are not directed to individuals outside the United States, and we do not knowingly collect personal information from such individuals.

2. Information We Do Not Collect

Because our customers use the Software to prepare forms containing their own clients’ personal and financial information, we want to be clear about what never reaches us:

  • Client and form data. All form data, client records, and any other information imported into or entered in the Software remains on the user’s local computer. This information is never transmitted to, stored by, or accessible to Steno. Ownership and control of that information remains with our customer at all times.
  • Payment card and bank account numbers. Full credit card numbers and bank account numbers are collected and processed by our third-party payment processor, not by Steno. We do not store this information on our systems. See Section 5.
  • AI and advertising technologies. The Services do not use artificial intelligence tools, Google services, advertising networks, or third-party marketing trackers, and no information you provide is used to train any AI system.

We do not sell personal information, and we have not sold personal information in the preceding twelve months. We do not share personal information for cross-context behavioral advertising.

3. Information We Collect

Information you provide directly. We collect the following information when you choose to provide it:

  • Demo and information requests. When you submit a request for a demonstration or additional information through the Site, we collect your name, email address, phone number, and firm name.
  • Account registration. When you create a user account, we collect your email address and a password. Passwords are stored in protected form.
  • Subscription and billing information. When you subscribe to the Services, we collect information reasonably necessary to establish and administer your subscription, such as your name, firm name, email address, and billing contact information. As described in Section 5, payment card and bank account numbers are provided directly to our payment processor.
  • Letters of authorization. When you complete a letter of authorization for recurring credit card or ACH billing through the payment portal, we collect the information contained in that authorization, such as your name, firm name, signature, and authorization details.
  • Communications. When you contact us by email or otherwise, we collect the contents of your communication and the contact information you provide.

Information collected automatically. When you use the Services, we automatically collect a limited amount of technical information:

  • Server logs. Our web servers and hosting infrastructure automatically record standard log information, including your IP address, browser type, the pages you request, and the date and time of your visit.
  • License verification. The Software communicates with our systems to verify that your license is valid and current.
  • Usage and error reports. The Software transmits limited usage reports and error reports to us so that we can maintain, support, and improve the Software. These reports describe how the Software is functioning and do not include form data or client records, which remain on your computer as described in Section 2.

4. How We Use Your Information

We use the information described above to:

  • Respond to your requests for demonstrations or information. We use information submitted through the demo request form only to respond to your request, not for ongoing marketing;
  • Create and administer user accounts and authenticate logins;
  • Establish subscriptions, process recurring billing through our payment processor, and maintain billing records;
  • Provide, maintain, support, and improve the Software, including verifying licenses and diagnosing errors;
  • Communicate with you about your account, your subscription, and updates to the Services;
  • Protect the security and integrity of the Services, prevent fraud and unauthorized access, and enforce our agreements; and
  • Comply with applicable laws, regulations, and legal processes.

5. Payment Processing

Recurring subscription payments by credit card or ACH are processed by Authorize.net, a third-party payment processor. When you enter payment information in the payment portal, your credit card number or bank account number is transmitted directly to Authorize.net and is not stored on Steno’s systems. Authorize.net’s collection and use of your payment information is governed by its own privacy policy, which we encourage you to review. Steno retains records of subscription status, billing history, and the letters of authorization described in Section 3.

6. How We Share Your Information

We do not sell or rent personal information, and we do not share it with third parties for their own marketing purposes. We share personal information only in the following limited circumstances:

  • Service providers. We share information with vendors who perform services on our behalf, including our hosting and content delivery provider (Cloudflare), our payment processor (Authorize.net), our business email provider, and our accountant, who has access to billing records for bookkeeping and tax purposes. These vendors are permitted to use personal information only to perform services for us.
  • Legal requirements. We may disclose information if required to do so by law or in response to a subpoena, court order, or other valid legal process, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or a security incident.
  • Business transfers. If Steno is involved in a merger, acquisition, financing, reorganization, or sale of all or a portion of its assets, personal information may be transferred as part of that transaction. We will take reasonable steps to ensure the receiving party honors the commitments in this Privacy Policy.
  • With your consent. We may share information with your consent or at your direction.

7. Cookies and Similar Technologies

The Site uses a limited number of cookies that are necessary for the Site to function, such as cookies that maintain your login session. We do not use advertising cookies, analytics cookies from Google, or third-party tracking technologies.

8. Data Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These safeguards include encrypted transmission of information over the Site, protected storage of account passwords, and limiting access to personal information to those who need it to perform their duties. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for notifying us promptly at support@stenoautomation.com if you suspect unauthorized access to your account.

9. Data Retention

We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including maintaining your account and subscription, complying with legal, tax, and accounting obligations, resolving disputes, and enforcing our agreements. When personal information is no longer needed for these purposes, we delete it or de-identify it. Information submitted through the demo request form is retained only as long as needed to respond to and follow up on the request.

10. Your Choices and Rights

You may:

  • Update your account email address or password by logging into your account or contacting us;
  • Request access to, correction of, or deletion of personal information we hold about you by contacting us at support@stenoautomation.com, subject to legal retention requirements such as billing and tax records; and
  • Decline to provide personal information, though this may prevent us from responding to your request or providing the Services.

Residents of certain states have additional rights described in Sections 11 and 12.

11. California Privacy Rights

This section applies to California residents and supplements the rest of this Privacy Policy. It is provided in reference to the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, the “CCPA”). Steno may not meet the CCPA’s thresholds for a covered business; we nonetheless extend the following disclosures and rights to California residents as a matter of policy.

Categories of personal information collected. In the preceding twelve months, we have collected the following categories of personal information, as described in Section 3: identifiers (such as name, email address, phone number, and IP address); professional information (such as firm name); commercial information (such as subscription and billing records); and internet or network activity information (such as server logs and Software usage and error reports). We collect this information directly from you and automatically through your use of the Services, and we use and share it for the purposes described in Sections 4 and 6.

No sale or sharing. We do not sell personal information and do not share personal information for cross-context behavioral advertising, and we have not done either in the preceding twelve months. We do not have actual knowledge that we sell or share the personal information of anyone under 16 years of age. We do not use or disclose sensitive personal information for purposes requiring a right to limit under the CCPA.

Your rights. Subject to applicable law, California residents may request: (a) disclosure of the categories and specific pieces of personal information we have collected, the categories of sources, the purposes for collection, and the categories of third parties with whom we have shared it; (b) deletion of personal information we have collected, subject to exceptions such as records we must retain for billing, tax, or legal purposes; (c) correction of inaccurate personal information; and (d) that we not discriminate against you for exercising these rights.

How to exercise these rights. You may submit a request by emailing us at support@stenoautomation.com. We will verify your identity by matching the information you provide with information we already hold, such as the email address associated with your account or request. You may designate an authorized agent to make a request on your behalf; we may require proof of the agent’s authority and verification of your identity. We will respond within the time required by applicable law.

12. Other State Privacy Rights

A number of other states, including Virginia, Colorado, Connecticut, Utah, Texas, and Oregon, have enacted comprehensive privacy laws granting their residents rights similar to those described in Section 11, generally including the rights to access, correct, and delete personal information, to obtain a copy of it in a portable format, and to opt out of targeted advertising, sales of personal information, and certain profiling. Steno may not meet the applicability thresholds of these laws; we nonetheless extend these rights to residents of these states as a matter of policy. Because we do not sell personal information, do not engage in targeted advertising, and do not engage in profiling that produces legal or similarly significant effects, there is no opt-out to exercise, but residents may submit access, correction, deletion, and portability requests by emailing support@stenoautomation.com. If we decline to act on a request, you may appeal our decision by replying to our response, and we will inform you of the outcome of your appeal.

13. Children’s Privacy

The Services are intended for business users who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided personal information to us, please contact us at support@stenoautomation.com and we will delete it.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page, and if the changes are material, we will provide more prominent notice, such as an email to account holders or a notice on the Site. Your continued use of the Services after the effective date of a revised Privacy Policy constitutes your acceptance of the revised policy.
